Are You A Slave To Your E-mail?
I’ve had the privilege to present “effective Time Management” to several organizations including Bank One. The topic is always well received and elicits spirited conversation about the “how-to” to manage information overload. Let’s face it we are literally assaulted with constant bombardment of information via television, radio, books, magazines, newspapers, and our daily interactions with others. Help! How DO we get a handle on all of this? What’s the secret to keeping your life streamlined and organized? The bottom line of successful time management is successful self management.
One of the biggest infringements on our time is the internet. We’ve heard the stories about those poor folks who have become Internet Junkies, sacrificing all their time to surf the web, participate in chat groups and bid on products they don’t need on E-Bay. You are probably thinking, well, that’s not me, I use the Internet and e-mail for legitimate business purposes. I NEED to check it constantly in order to stay on top of my game. Wrong!
A client of mine recently was hired into a top notch company in an excellent leadership position. Quickly she was overwhelmed with the responsibilities of her new job. As we talked, her major obstacle was revealed. She was an E-Mail Slave! The magnitude of e-mails that she had to deal with was absolutely mind boggling. She thought being efficient meant checking and responding to her email 24/7. Check email throughout your day is unproductive, undisciplined, and unfocussed. Not exactly what you are aiming for right?

3 Quick E-Tips
1. Upgrade your Spam-Filters- Go to google.com and upgrade your spam filter software. According to Jupiter Research we will receive over 1,400 junk e-mails a year. PC magazine’s highest rated spam filter software is called Cloudmark available @ www.Cloudmark.com
2. Scan your Messages- scan your emails for these 2 defining factors. 1) Who is the email from and 2) What is the subject header? Hit delete if these 2 factors don’t ring your bell. When you send emails always include a definite subject header and due date in the subject line and advice your fellow e-mailers to do the same or risk the Delete key! This practice will lessen your emails by 50%.
3. Schedule Your E-Mail Checks- Set specific times to check your email. A recommended schedule is beginning of the day, noon, and late afternoon. Quit chopping up your day bouncing back and forth with emails, instead be productive and focused. You’ll get a lot more done and that’s a good thing!
